I hope everyone woke up to an adequate headache on January 1st.

Private Print
We employ a very green printing strategy here at IMC. We have a few highly-efficient, heavy-duty printers that provide print/scan services to the entire company. This is a fantastic configuration when it comes to efficiency and environmental impact.
However, there is one problem with many people sharing only a few printers: privacy.
Many people are, for good reason, apprehensive about sending certain prints to the shared copier for fear of prying eyes. That shifty IT guy might be stealing all your confidential printzZzz!!!
Not to worry. Printer manufacturers have already thought of this and developed a solution: private printing!
I’ve lightly touched on this topic in the past. However, we’ve done a ton of moving around since Bryant opened for business and we have a lot of new printers. This is a good time to go over protecting those prints. 

Ok, I’m sold. How can I print a document privately?
Of course you’re sold. I could sell sticks to an Ewok.

We have two different printer models that support private printing: The Konica BizHub printer on the 1st floor of 51 Church and the Kyocera TASKalfa units pretty much everywhere else.
If you’re looking to print privately on the 1st Floor copier at 51 Church, scroll down to “On to the Konica

I’ll start with the Kyocera
First, click Print in the desired application (Word, Excel, Internet Explorer etc…).
1.     On the print dialog box, be sure the correct printer is selected and click on “Print Properties”, “Properties” or “Print Preferences”. This can vary depending on the application you’re using. Here is what it looks like in Word and Adobe Acrobat as a reference:



2.     Once you click on “Properties”, select the “Job” tab in the Kyocera software. There are two versions of the Kyocera software and they vary slightly. I have screenshots of both versions at each step.

 

3.     Next, check off “Job storage (e-MPS)” and select the “Private Print” option.



 
 













You may need to uncheck “Prompt for access code”
if you have this version
























4.     Now you just have to enter an “Access code” and click OK. The access code will be used to retrieve your print job and keep things secure. The code can be any numeric code you desire and it only applies to this print.

 
Now just click OK on the Printing Preferences window and then click print.
Now you’ll have to go to the printer to retrieve your private print job.
This part also varies slightly. Step 2 below is a little different on the 51 Church 2nd floor copier so I’ve added a second image for that unit.
1.     Go to the printer and log in with your copier code.


2.     Press the “Job Box” or “Document Box” button.




3.     Select “Private Print/Stored Job” and tap “Open”.


4.     Select your name (or username) and tap “Open”.


5.     Check off the print jobs that you wish to print and then tap “Print”.


6.     Enter the “Access code” that you created when printing the document. This is that numeric code of your choosing that you entered earlier.


7.     Finally, use the + and – buttons to select the number of copies and tap “Start Print”.

Your print should now come out safely in your presence! 

On to the Konica (51 Church 1st floor).
The Konica BizHub on the 1st floor at 51 Church is entirely different than the Kyocera units. This is how you private print on that unit:
1.     First, click Print in the desired application (Word, Excel, Internet Explorer etc…).

2.     On the print dialog box, be sure the correct printer is selected and click on “Print Properties”, “Properties” or “Print Preferences”. This can vary depending on the application you’re using. Here is what it looks like in Word and Adobe Acrobat as a reference:



3.     After clicking “Properties” or “Preferences”, go to the “Output Method” section under the “My Tab” tab.


4.     Next, change the “Output Method” to “Secure Print” and then click on the “User Settings” button.

 

5.     Enter a “Secure Print ID” & “Password” and click OK. You will need to use the ID and password to retrieve your private print job. This is an ID and password of your choosing and it only applies to print jobs sent to this printer.


6.     Click OK on the Printing Preferences window and then click print.

Please note: Unlike the Kyocera, the Konica BizHub will remember the Secure Print setting. That means once you’ve done a private print, your computer will keep using private print until you change it back.

Now you’ll have to go to the printer to retrieve your private print job. 

1.     Go to the printer and log in with your copier code.
 
 

2.     Press the “User Box” button.


3.     Select the “System User Box” tab and tap “Secure Document User Box”.


4.     Enter the ID that you created when printing and then press “OK”.


5.     Enter the password that you created when printing and then press “OK”.

 

6.     Select the document you want to print and then click on the “Print” button.


7.     Finally, many any final adjustments and click the “Start” button.


Your print should now come out safely in your presence!

 
What if I want all of my prints to be protected?

If you’re one of those special people whose prints are always confidential, you’ve come to the right place. Also, if you’re just forgetful, you’ve come to the right place. Not to mention, those of us who are forgetful will find this useful. By the way, if you don’t have the best memory, you may like this feature.

You can set your computer to always print privately!

As noted above, the Konica printer (1st floor @ 51 Church) remembers the private print setting once you’ve done it one time. Thus, the aforementioned procedure will make all of your prints to that printer private until you change it back.
For the Kyocera TASKalfa models, follow these steps:
1.     Click the start bubble and then click “Devices and Printers”.


2.     Right click on your Kyocera TASKalfa and choose “Printing preferences”.


3.     Once you click on “Printing preferences”, select the “Job” tab in the Kyocera software. There are two versions of the Kyocera software and they vary slightly. I have screenshots of both versions at each step.


 

4.     Next, check off “Job storage (e-MPS)” and select the “Private Print” option.



You may need to uncheck “Prompt for
access code” if you have this version
 



































5.     Now you just have to enter an “Access code” and click OK. This access code will be used to retrieve your print jobs each time you print to this printer.



6.     Click OK and your printer will be set to always print privately!
